Share Your Google Calendar

It is a good way to share your timetable with your co-workers and friends, so your friends know when they can ask you to go for a coffee. However, bear in mind that we have 2 different kinds of Google accounts, the FREE and the PAID. Basically, the account which you’ve created is the FREE by default. But, you can pay some amount of money to get more features, you can see the G Suite Pricing.

On the other hand, you may have multiple Gmail accounts. The working account (usually the PAID type), personal account (usually the FREE type), and even your family members’ accounts (FREE as well). It is quite difficult to manage multiple calendars as you may miss one or two events. Well, you can share all the Calendar events of the accounts to one active Gmail account, and you have all events monitored. Besides, you can schedule a family event when your boss did not ask you for golfing at weekend.

Simple Sharing

FREE to FREE, PAID to PAID

Sharing the calendar between the FREE with the FREE, or sharing the PAID with the PAID, it’s quick and easy. Just follow the steps (based on the FREE accounts, it is the same for both PAID and FREE versions).

  1. Open the link to your Google Calendar.
  2. Look for the “+” sign beside the “Add a friend’s calendar” text box (the PAID version will show “Add a coworkers calendar”).
  3. Now click the sign and select “Browse calendars of interest” and it will redirect you to the calendar settings.
  4. At the “Settings for my calendars” section click on your name, and select “Share with specific people”.
  5. Now click “ADD PEOPLE” and enter your friend’s email address.
  6. You have 4 different permission selections:
    • See only free/busy (hide details)
    • See all event details
    • Make changes to events
    • Make changes and manage sharing
  7. Select your preferred permission and click “Send”.

Now all the calendar events will be shared with your friends. Whenever you added or make changes to an event, it will be updated automatically to your friends.

Sharing Across Different Accounts

FREE to PAID, PAID to FREE

If you are a FREE user, you have no problem sharing your calendar with anyone (FREE or PAID users) with all of the 4 permission options. Do make sure that you’ve shared only with someone you trust.

However, if you are a PAID user, you have only one option by default which is “See only free/busy (hide details)” when you want to share with a FREE user. Please note that this may differ for each organizer, where some G Suite admin allows you to do that, so contact your G Suite administrator.

Alternative Way of Sharing Calendar Event

Sending Invitation

Well, instead of calling it “sharing”, we can say that we “invite” people to our events. While creating an event, select the “Add guests” text box and enter the FREE user’s email, easy step. Now your friend will receive an invitation to the event and he or she will be able to view all the event details.

Most of the people would prefer this way since you may not want all of your events shared with others. Well, unless you are sharing within your working and personal accounts, or within your family members, then you should use the Simple Sharing method.
